This isn't our story.
It's yours.

Seventeen years as a migration agent. An OMARA investigation. Eight years building the tool no one else built. Every agent we've spoken to since recognises this story as their own.

If this is you

You're a registered migration agent. Your compliance could be tighter. Your records might not survive real scrutiny. You haven't found a tool built for how this work actually runs. Keep reading.

Chapter 01 The Hole
2009
MARA Registered

There was a gap. Everyone felt it. Nobody fixed it.

Jan Bejcek registered as a migration agent in 2009. The work was meaningful: helping people navigate the system, reunite families, open pathways. But the infrastructure was a mess.

Spreadsheets for cases. Email folders for documents. Handwritten notes for records. Separate tools for invoicing, intake, and compliance. Nothing was designed for an agent.

Every available tool was built for another industry and jammed into a migration context. Generic CRMs. Document platforms with no audit logic. Compliance that meant "keep a folder and hope."

"Every other profession had systems built for how they worked. Migration agents had spreadsheets and good intentions."

The gap was obvious. The question was who would fill it.

Chapter 02 The Calling

The practice grew. The cracks grew with it.

Ten clients is manageable. Fifty isn't. As the practice grew, the improvised systems started to fail. Not all at once. Quietly. A missing file note. A deadline in an email no one found. A staff member who left and took the knowledge with them.

Then came the CRICOS college. Jan founded it, ran it, and later sold it. Now there were two regulatory regimes running at once. OMARA and ESOS. Two audit frameworks. The same broken tools for both.

2009 → 2011
Migration practice established
First clients. Spreadsheets, email folders, a generic CRM. The practice works. But only because Jan knows where everything is.
2011 → 2014
CRICOS college: a second layer of complexity
The college is founded, registered, and scaled. Two regulatory regimes running at once. OMARA and ESOS. Two audit frameworks. One set of broken tools. The gap is now impossible to ignore.
2014 → 2015
The search for a real solution
Every platform reviewed. Generic CRMs. Education management systems. Compliance tools from other industries. None understand migration. None have OMARA audit logic. None are right. Decision: build it from scratch.
Chapter 03 The Refinement

Eight years. Thousands of real cases.
Built and tested in a live practice.

This wasn't a product roadmap. It was operational necessity. Every feature was built because the practice needed it. Tested on real clients, real compliance obligations, real stakes.

📁
Client intake and file management
A structured intake. One client file that held everything. Every document and piece of advice recorded. Simple in concept. Years to get right.
2015 → 2016
⏱️
Timestamped records: the PROOF Engine concept
The insight: compliance evidence only works if it was created at the time. Not reconstructed later. Every action logged at the moment it happens. Every record locked.
2016 → 2017
👥
Making the practice navigable without the founder
The second staff member made it obvious. Too much knowledge lived in one person's head. Visa checklists, onboarding structures, and workflows were built so a new hire could actually be useful.
2017 → 2018
💰
Financial management and Xero integration
Invoicing, instalments, fee agreements. All disconnected from the client file in every tool available. The Xero sync closed that gap. One record, intake to payment.
2018 → 2019
🔄
Automation: from workflows to ImmiAccount
More cases meant more manual repetition. Document workflows, automated checklists, ImmiAccount integration. Each one built because someone needed time back.
2019 → 2021
🤖
AI layers: consultation and case intelligence
Consultation Scribe, AI Case Review, submission writing tools. Not added because AI is trending. Added because the practice needed them, and the compliance logic was already in place to do it properly.
2021 → 2023
Chapter 04 The Dark Knight

The letter arrived.
The OMARA investigation.

No one expects the letter. Even agents who keep records, advise carefully, and take their Code of Conduct seriously. An OMARA investigation is a different kind of experience.

It requires evidence across every matter under review. Correspondence, file notes, advice records, documents, billing history, timeline of actions. Everything. Produced on demand.

"The investigation didn't find what it was looking for. But it revealed something more important: the difference between thinking you have records, and actually having them."

The investigation closed without adverse findings. But it changed everything about what Educli was being built to do. Not a practice management platform. An evidence engine. A system that produces proof by default.

The PROOF Engine was redesigned from scratch. Not to pass an audit. To make the audit irrelevant.

"Every RMA we've spoken to since says the same thing. They didn't know their records weren't good enough until they had to prove it. That gap is exactly what Educli was built to close."

8 yrs
From the investigation to the decision to release. Every year: refinement under real operational conditions.
Off-the-shelf tools couldn't produce the evidence trail OMARA expected
File notes reconstructed from memory are not the same as records created in real time
Document storage is not evidence. Timestamped, locked records are evidence
Most agents only discover these gaps when it's too late to fix them
The gap between "compliant" and "audit-ready" is wider than almost anyone admits
Chapter 05 The Miracle

After 5,000 visas lodged,
something became undeniable.

After years of running the practice on Educli, the evidence was in. Cases processed cleanly. Staff onboarded without chaos. Compliance records that held up. A practice that ran whether Jan was there or not.

Other agents kept asking the same question. What system do you use? How are you not drowning?

The PROOF Engine: eight years of real-world output

PROOF › Cases managed on platform // 8 years internal operation PROOF › 5,000+ visa applications lodged // all with full audit trails PROOF › OMARA investigation navigated // evidence assembled in hours, not days PROOF › Zero record reconstruction // every action timestamped at creation PROOF › Platform decision: release to other agents // 2023

The miracle wasn't one moment. It was the realisation that every other RMA was still solving the same problems Jan had solved years earlier. Educli wasn't just Jan's OS. It was the one the whole profession needed.

Chapter 06 The Breakthrough

The RUN™ standard.
Not a product feature. An outcome.

The breakthrough wasn't technical. It was a naming decision. What had been built wasn't just tools. It was a standard for how to run a migration practice. Regulatory-Ready by design. Unified across operations. Navigable by anyone on the team.

That standard is RUN™. The platform exists to make it achievable for every registered migration agent in Australia.

Before Educli
  • ×Compliance records built from memory under pressure
  • ×Practice knowledge lives in one person's head
  • ×Five disconnected systems for one practice
  • ×An OMARA audit is a three-day emergency
  • ×Growth means more hours, not more capacity
  • ×Staff turnover means knowledge loss
Built to RUN™
  • Every action timestamped at creation, automatically
  • Practice knowledge lives in the system, not the founder
  • One platform from intake to closure
  • OMARA audit evidence assembled in minutes
  • Systems scale. Hours don't have to.
  • New staff productive in weeks, not months
Chapter 07 A Better World

What we believe about
how this profession should work.

Not written by a marketing team. Made undeniable by seventeen years in practice, an OMARA investigation, and thousands of client files.

01
Compliance evidence must be created in real time, not reconstructed under pressure
A file note written at the time is evidence. One reconstructed three weeks later is a liability. Every Educli feature is built around this distinction.
02
A practice that depends on one person isn't a practice. It's a job with extra steps.
When knowledge lives in the system, attitude matters more than experience. A junior hire who follows the process beats a senior one who resists it.
03
Compliance should be a competitive advantage, not an anxiety
Agents who are audit-ready operate differently. More complex cases. More confident client conversations. Practices worth acquiring. Compliance infrastructure is what makes that possible.
04
Software built by people who've never filed a visa is always going to miss something critical
Generic platforms don't know what OMARA expects. They can't tell the difference between a communication record and a file note. Educli does. It was built by someone who needed to know.
Chapter 08 The Future

Twelve months from now,
your practice looks different.

Not because you worked harder. Because the system does what used to live in your head. Files clean before anyone asks. Team knows what to do. You take a week off and nothing falls apart.

That's what Built to RUN™ looks like. That's what we're building toward for every registered migration agent in Australia.
